Solutions · Recruitment operations

See every candidate’s status, every site’s backlog, and every reason for a screen fail.

For recruitment managers and central research offices who coordinate pre-screening across several studies and sites — and currently do it with spreadsheets and email.

One pipeline for the whole trial, split by site.

Every candidate is in exactly one operational state, assigned to one site and one reviewer. Counts below are computed from 95 synthetic candidate records.

From approved criteria to a queue — without losing the gaps.

In the synthetic run, 95 of 2,400 records were potential matches. 57 of them have at least one criterion the data couldn’t answer; they stay in the queue, marked, instead of being dropped.

Evaluate approved criteria v1.1 against DS-A as of the run date. Each record gets a result per criterion: Met, Not met or Unknown. Records with any Unknown stay in the list, marked with their data gaps.

Coordination that leaves a record.

Recruitment work stalls when nobody knows who has a candidate, or why a candidate was set aside. TrialBridge makes both explicit.

  1. Assignment by site and reviewer

Candidates are assigned to a site and a reviewer; reassignment is a recorded action, not a forwarded email.

  2. Missing-information requests

“More Information Required” names what is missing — for example, NYHA class from cardiology notes.

  3. Reasons for every outcome

Not Eligible requires the failing criterion and a rationale, so screen-fail reasons can be analysed later.

  4. Investigator referral

Investigators see only the candidates referred to them, at their own site.

Find where recruitment is waiting — then act on it.

A typical path: the funnel shows most candidates haven’t had a first review; the site view shows one site holding the largest backlog; the age view shows how long it has been waiting.

Recruitment funnel

How many candidates reached each stage, and where the biggest drop happens.

  2. Review started4143 %
  3. Potentially eligible1741 %
  4. Investigator review1165 %
  5. Consent recorded655 %
  6. Enrolled467 %

Largest absolute drop is before review starts: 54 candidates are still awaiting a first review — a backlog, not screen failures.

Hypotheses, not results.

TrialBridge hasn’t been used in a live study. These are the outcomes we’re designing for and intend to measure with pilot partners.

  • Fewer chart reviews per potentially eligible candidate

Measured as candidates reviewed ÷ candidates reaching Potentially Eligible, before and during a pilot.

  • Shorter time to first review

Median time from a cohort run to the first screening action.

  • Fewer candidates wrongly set aside for missing data

Share of data-gap candidates later found Potentially Eligible on review.
